Treat shade and shelter as separate needs
A table can be shaded but still exposed to warm air, humidity or strong wind. Ask whether the display area is protected on more than one side.
Temporary shade can move as the sun changes. Check the expected light direction during the reception rather than relying on the ceremony setup.
Use a stable table and final position
Grass, decking and temporary flooring can be uneven. The cake table must be level, strong enough for the cake and in its final position before delivery.
Avoid placing the cake beside a dance floor entrance, service path or opening where guests and staff repeatedly pass.
Plan the delivery route through the venue
Garden and waterfront venues may have long paths, gravel, steps or limited vehicle access. Share the supplier entrance and carrying distance before the delivery price is finalised.
If the reception is on a pier, lawn or terrace, confirm whether a trolley can reach the space and who will meet the delivery on arrival.
Agree on a weather fallback
The venue should name the indoor or protected location that will be used if heat, rain or wind makes the planned table unsuitable.
Tell us promptly if the position changes. A different table location can affect the delivery route, setup time and how the cake is photographed.
